PEPS School Council Meeting January 12, 2017 PEPS School Learning Commons Attendance: Gillian Prieur, Amanda DiBattista, Allison Haining, Jennifer Whiting, Amanda McCoubrey, Crystal Gallant , Carol Jones, Emily Tschirhart, Dana Lunn, Isabell Roussy, Alicia MacArthur, Barb Tompkins (vice principal) Paul Huddleston (principal), Lisa Lankhof 1. Welcome and introductions Gillian called the meeting to order at 7: 05pm 2. Review & Acceptance of Agenda/Declaration of any Conflict of Interest . 3. Review and approval of December Minutes Motion to accept: Amanda D. Seconded: Amanda M . Motion carried. 4. Treasury Report Carol provided the report. There is $33 753.33 in the account. From this total, $13 536.05 is to be taken out and given to the Library Transformation. This is the total amount of money raised. The Jingle Mingle fundraiser has not been included yet. Carol mentioned that pizza sales are down by approximately 2 pizzas. *** See Report 5. Admin Report Paul mentioned that Friday, January 27th is Report Card Writing Day for teachers and therefore a PD Day for students. Kindergarten teachers have been doing some professional development around the new curriculum and the new Communication of Learning which is replacing the Kindergarten report card. Report Cards are being sent home Feb 16th. Paul mentioned that the student and staff hockey game in December was another great success. It was a nice feeling to have the stands filled with students from PEPS. 6. Teacher Report There was no teacher representative so Barb shared information on their behalf. There was $220 received for the garden. Stacy Whittington is the contact for this. Tricia will need to connect with Stacy regarding the money and seedlings that will used for the garden this year. ACTION ITEM: Tricia to speak with Stacy Whittington regarding newly received funds and seedlings. Mme. Foster provided pictures for Council to see about the various happenings in the Learning Commons with the new funds that have been raised. Kids are using robotics that were ordered with funds from School Council. Students have access to the space during first Nutrition Break. 7. Subcommittee Updates and Discussion a) Pizza Day/Food Day Subcommittee – Update Crystal reported that the first Pizza Day of 2017 had to be postponed due to bus cancellations. Many families didn’t realize that they need to send a lunch on No Bus Days. This needs to be communicated better so people are aware. It is to be added to the newsletter, Paul will try to remember to mention this in his email to the families in the event there is a no bus day. It also needs to be added to the paper and online form that No Bus means NO Pizza. The committee is going to do a Smoothie Day. There will be 3 flavours offered by Pita Pit. The size of the smoothie is 8oz. and it will be sold for $3.50. There will also be Valentine cookies for sale for $1.00. Both the smoothies and cookies will be sold online. There will be a form for teachers so they can order. There are still concerns regarding the pizza so the committee will look at re-evaluating the pizza supplier for next year. ACTION ITEM: Committee to speak with Allison about the 2 food days and have them posted online. ACTION ITEM: Lisa to add to newsletter that No Bus means no Pizza. ACTION ITEM: Paul to add to his email when there is a bus cancellation and it is Pizza Day that it will be postponed to another day. ACTION ITEM: Tara/Carol need to add No Bus means No Pizza to pizza form and online form. ACTION ITEM: The Food Committee to send an email about pizza and no bus day and when it the missed day will be rescheduled. b) Jingle Mingle Committee – Update Allison reported that they don’t have a final total yet, but they estimate that between $800-1000 was raised from the silent auction and raffle. They don’t have the final costs, but they did come under budget, and some receipts still need to be submitted. The hot chocolate was donated this year, and popcorn ran out early. It was suggested that they need to get small candy canes for the prizes and to reduce the number that kids can get as some got too many and others got none. Santa has been booked for next year; Wednesday, December 13th. Mr. Dukes did a great job taking the photos and it was nice to have the photos taken on the floor. The raffle worked out nicely and the silent auction made good money, but this portion was a lot of work and a lot of time and effort to organize it all. ACTION ITEM: Jingle mingle needs to added to Financial Report in February ACTION ITEM: Thank yous need to be sent. c) Library Fundraising Planning Committee - Update Amanda M. reported was completed in December. $746.50 was made from the spirit wear. Teachers were happy with the clothing. Teachers wondered if V necks and long sleeve shirts could be ordered. They are also wondering about pink shirts. The Committee would like to have PEPS Spirit Day January 20th so that it will get others excited and want to purchase spirit wear as there will be another opportunity to buy again soon. The samples are going to be put on display and the water bottles are going to go back up online. ACTION ITEM: Amanda to put spirit wear back on line via Allison. ACTION ITEM: Committee to put water bottles back online. ACTION ITEM: Amanda to make some announcements regarding spirit wear and send to school so it can be said over the announcements. d) Movie Night Sub-committee – Update The committee will be showing The Ant Bully on January 26th. They will be buying pizza from Little Caesars this time and it will be sold for $2. Popcorn has been ordered and will be given out for free. Doors open at 6 and selling pizza at 6. Emily is looking into a google doc for this night. ACTION ITEM: Need 2 student volunteers for help with popcorn. e) Pro Grant Committee - Update Carol got a speaker, Blaine Primo, from the Board. It looks like the he will be free, so they still have to spend the Pro Grant money on something. He has suggested certain math kits. The committee is going to meet to figure it all out and pick a night based on the speaker’s availability. f) Greening Committee - Update Nothing to report. g) Read-a-Thon Committee – Update There is no update at this time. The event will take place in March. 8. New Business: Carol brought a Thank You card from Michelle Maycock who retired from PEPS. She thanked the Council for their hard work and dedication. Jenn W. also shared that Mr. Anderson is grateful for the money raised to buy the robotics so a group of students can compete in a competition. 9. February Agenda Items: Social Media discussion, Jingle Mingle financials Meeting adjourned by 8:32pm. Lisa to bring the snack. Next meeting will be Thursday, February 2, 2017 at 7pm in the PEPS Learning Commons.
